This document is a workplace policy document which deals with the issue of gifts and hospitality. It may be used by an organisation in Great Britain.

An organisation may wish to hold a gift and hospitality policy to help ensure that the workplace remains free from bribery and corruption.

In an employment setting, common gifts might include flowers or food hampers. Hospitality may take the form of corporate events and meals.

The policy will explain important information to staff members such as:

  • The procedure for recording gifts and hospitality
  • The types of gifts that are acceptable and unacceptable
  • The type of hospitality that is acceptable and unacceptable
  • The occasions where a gift or hospitality must have prior authorisation

An organisation may also wish to hold a comprehensive anti-bribery policy in addition to this document. It may also hold the following relevant documents:

How to use this document

This document should be completed with the relevant information about the organisation.

If the organisation formally recognises a trade union on behalf of its staff members, it may wish to consult or agree with the trade union about the code of conduct. Sometimes, the terms of a collective agreement may require that a trade union or works council should be consulted in respect of any policy.

The policy does not need to be signed by a representative of the organisation.

Once the policy has been finalised, the workforce should be made aware of its existence. It should be kept in a place which is easily accessible to workers, together with a central gifts and hospitality register. Typically this might be in a staff handbook or a staff intranet portal.

The document may also be handed to new members of staff together with their contract for work or contract of employment.

Relevant law
