Fill out the templateA Landlord can use this letter to inform a Tenant of a residential property about the decision to not refund the Tenant's deposit at the end of the tenancy period. In this letter, the Landlord will explain to the Tenant the reasons for withholding the deposit. This letter can also be used where the Landlord is either withholding part or all of the deposit.
This letter also provides the common reasons for this decision by the Landlord such as unpaid rent, property damage, cleaning costs or other situations permitted by the tenancy agreement.
This letter should be used where the residential property is in the jurisdiction of England and Wales.
The Landlord can be either a company or an individual.
This document should be sent by the Landlord at the end of the tenancy and after inspection of the property following the Tenant's departure from the property. Under UK law, the Landlord is required give the Tenant a reason for withholding or deducting from the deposit where such a situation arises and this document helps a Landlord meet this requirement. The Landlord should also incluse the details of the specific deductions made to the deposit either in this letter or in a separate document that will accompany this letter.
If possible, the Landlord should also send along supporting evidence of the claims about the need for these deductions and where applicable, receipts or quotes for the cost of repairing the property.

If the Landlord is a company, the document should be signed by the company's relevant representative.
