A Maintenance Request Letter is used by a lessee or renter to inform their lessor or landlord of any necessary repairs that needs to be made on the property that they are renting. The renter has an obligation to advise the landlord of the need of any necessary repair in the leased property.
This letter can also be used as evidence that the landlord was made aware of the issue before taking action, such as suspending payment of rent or ordering the repairs at the landlord's expense.
It is important to first check the lease agreement to see if there is any stipulation as to who will make any necessary repairs on the property. If the lease agreement does not say who will make the repairs, then the general rule is that it is the landlord will be responsible for the repairs.
Once it is determined that the landlord is responsible for all the necessary repairs, then this document may be used to request the repairs by completing all the information asked for in the document.
After the document is completed, the renter can print, sign, and send the same to the landlord either personally or by registered mail. If the document will be given personally, the renter should have a second copy ready where the landlord can sign to acknowledge receipt of the letter. Alternatively, the renter can also save the document as a PDF file and email the same to the landlord.
