By using this letter, a client can express their dissatisfaction about a service they have paid for and request a refund or other form of compensation.
A service provider is someone who has been hired to provide specific services. The service provider is usually hired under a Service Agreement or other agreement to provide specific services. If the service provider does not perform the services to the satisfaction of the client, the client can use this letter to complain about the service they received. For example, if a cleaning agency can be hired to provide cleaning services to their client and the cleaner does not do proper cleaning or does not complete their work, the client can send this letter to their service provider.
The client will use this letter to complain about the poor service they had received and request a refund for the inconvenience caused. Note that this letter is not to be used to complain about damaged or bad products, the Letter of Complaint to Retail Business should be used instead.
This letter should be used when a customer or client has a bad experience about the service they have purchased and received. The sender should enter a specific details of the experience, including the date the service was provided, the details of the service, and how the customer will be refunded.
After completing this document, it should be printed and signed by the sender, and the document should be sent to the recipient. Alternatively, this document can be downloaded and sent to the service provider via email. The sender should also keep one copy for their record.
If the recipient fails to rectify the problem or does nothing about the complaint, the sender may file a complaint to the Federal Competition and Consumer Protection Commission (FCCPC). Consequently, the Consumer Protection Council (CPC), may direct the recipient to refund the sum that was paid for the bad service or product, replace the defective or substandard product, or to pay compensation.
There is no law outlining the content of a complaint letter as it is a rule of general practice that a letter of complaint should be sent in cases where customers are dissatisfied with the quality of service they receive. However, the Consumer Protection Council Act,1992 is the principal legislation that establishes the CPC, which is an agency that ensures the protection of consumers in Nigeria.
