Sometimes, some parties do not perform their obligations under a contract or violate some terms of their contract. Hence, this document will be used to inform the violating party about their breach, reiterate a party's expectation, and salvage the agreement while maintaining an amicable business relationship with the violating party. This document can also stop a small breach from becoming a huge one by preventing additional issues.
This document also serves as a warning to the violating party before commencing an action for breach of contract in a court of competent jurisdiction.
This document requires information such as the names and addresses of the sender and recipient, the specific clauses of the agreement that have been violated, a detailed description of the breach, and the particular date or period within which the breach must be rectified.
After completing this document, the sender should print, sign, and deliver it to the recipient. Some people sign two copies of the letter and deliver it to the recipient who will keep one and acknowledge their receipt of the document on the other copy. In this case, the sender should keep the acknowledged copy for record purposes. Note that this document can be delivered to the recipient as a letter or by email.
